Reactive maintenance is unavoidable, but the majority of disruptive failures in managed properties are predictable and preventable.

A workable calendar covers quarterly checks of seals, grouting, extractor fans and appliance filters; twice-yearly heating and hot water servicing; and an annual review of soft furnishings, mattresses and high-wear items.

Each item should have an owner, a frequency and a record. Without a record, planned maintenance quietly becomes reactive maintenance again within a year.

In managed portfolios, this calendar is best held centrally so that contractor visits can be grouped by area and scheduled around occupancy rather than around emergencies.
